Privacy notice

Draft for legal review. This notice describes the intended handling of enquiry data. It must be approved by a qualified adviser, and the enquiry form must be connected to an approved endpoint, before either is used with real personal information.

Who this notice covers

This notice applies to people who contact AgentAligned through the enquiry form or by email. AgentAligned is a service operated in South Africa and is powered by TIM Africa. The responsible party details and Information Officer contact will be confirmed before publication.

What we collect

When you complete the bottleneck assessment or email us, we collect only what you choose to send:

  • Your name, company, role, work email address and optional phone number
  • What you tell us about the workflow, its frequency, its consequences and the result you want
  • The systems, compliance requirements and timing you select
  • Any additional notes you add

Please do not send confidential documents, customer records or special personal information through the enquiry form. If a diagnostic proceeds, we will agree a secure way to share operational data first.

Email updates

If you subscribe through the form in the site footer, we collect your email address and nothing else. We use it only to send occasional updates about our work, and we store it with our email provider for that purpose. We do not sell it or share it for anyone else’s marketing. You can unsubscribe at any time using the link in any update we send, or by emailing hello@agentaligned.agency, and we will remove your address.

Cookies and analytics

We use Google Analytics 4, loaded through Google Tag Manager, to understand how this site is used — which pages are read and how people arrive. It is switched off until you accept it, and nothing is requested from Google before you do.

When you accept, Google Analytics sets cookies in your browser, principally _ga and _ga_ followed by a container identifier. These distinguish one browser from another so visits can be counted; they typically last up to two years. We do not use them to identify you by name, and we do not combine them with anything you send us through a form.

You can change your mind at any time using Cookie settings in the footer of every page. Switching analytics off stops anything further being sent to Google. It does not delete cookies already stored in your browser — clearing your browsing data does that.

Your choice itself is kept in your browser’s local storage rather than in a cookie, so a decision to refuse cookies is not itself recorded in one. We remember it for six months and then ask you again. Clearing your browser data removes it sooner and you will be asked on your next visit.

Embedded third-party content

Separately from analytics, some pages load content from other companies. To deliver it, those companies receive your IP address and the standard request headers your browser sends. This content loads whether or not you accept analytics, because the pages cannot be displayed without it:

  • Google Fonts — the typefaces used across the site
  • Amazon CloudFront — the video on the home and services pages
  • Spline — the three-dimensional scene on the use-cases page

We receive nothing from these requests ourselves and do not use them to identify or track you. Each provider handles the data it receives under its own terms.

Why we use it

We use enquiry information to respond to you, to assess whether a Bottleneck Diagnostic is suitable, and to prepare a proposal if you ask for one. We do not use enquiry details for marketing unless you separately agree to that.

Lawful basis

We expect to rely on your consent when you submit the form, and on the steps needed to enter into or perform a contract where an engagement follows. The final basis under POPIA, and under other laws where they apply to you, will be confirmed by legal review before this notice is published.

Who may process it

Enquiries are handled by the AgentAligned team and, where relevant, by TIM Africa as the service provider. We also use service providers such as website hosting, email and business tooling to receive and store enquiries. Each provider will be documented in an operator register, with an agreement in place, before the form goes live.

How long we keep it

We keep enquiry records only as long as needed to respond, to evaluate fit and to meet legal or accounting obligations if an engagement follows. Where no engagement follows, the retention period will be set in the approved version of this notice and enquiries will be deleted at the end of it.

Security

We use access controls, encrypted transmission and least-privilege practices to protect enquiry information, and we limit access to the people who need it. No system can be guaranteed to be free of risk, so we also keep an incident response process for handling any suspected compromise.

Cross-border transfers

Some providers we use may store or process information outside South Africa. Where that happens, we check that the transfer meets the requirements that apply to it, including the conditions POPIA sets for transfers to other countries. Where a client requires South African data residency for a project, that is handled as part of the engagement architecture rather than through this enquiry channel.

Your rights

Subject to the law that applies to you, you can:

  • Ask what personal information we hold about you
  • Ask us to correct or delete it
  • Withdraw consent for further contact
  • Object to processing in the circumstances the law allows
  • Complain to the Information Regulator of South Africa
